How to claim EU261 compensation without a company

A practical direct-claim workflow: check eligibility, save evidence, contact the airline and choose the right escalation route.

Start with the right kind of claim

Compensation for inconvenience, a refund of an unused ticket and reimbursement of necessary expenses are different requests. A free letter does not establish eligibility. Write down the departure airport, ticketed destination, operating carrier, actual arrival and the airline’s stated reason. For connections, establish whether the sectors share one booking.

EU261 generally covers EU departures regardless of the carrier and certain inbound flights on EU carriers. UK261 is a separate framework. A standalone departure from Doha or Dubai on a local carrier does not become covered merely by landing in Europe. A through journey that began in Europe requires separate review.

The direct-claim workflow

  1. Collect the booking confirmation, boarding pass, airline notices, actual arrival evidence and itemised receipts. Keep originals and supply only necessary copies through the official airline channel.
  2. Use the calculator as a preliminary check. A delay claim uses arrival at the final destination. For cancellation, notice and the replacement departure and arrival times matter too.
  3. Prepare a letter using confirmed facts. Record an unknown cause as unknown. Describe an airline explanation as its stated reason rather than treating it as independently proven.
  4. Write to the operating carrier. Open its official claim link in the airline directory and select the relevant issue. Do not confuse the codeshare seller with the airline that operated the affected flight.
  5. Save the case number, submission date and documents supplied. Follow up on the same case. Duplicate applications through different companies can create conflicting representation.
  6. Read the response carefully. If approved, check the split between compensation and expenses. If refused, request the supporting evidence and the applicable escalation route.

If the airline refuses

Severe weather or air traffic restrictions often make compensation unlikely. Care can still be due. Ask which event affected the flight and what reasonable measures were considered. A technical defect or crew shortage is not automatically an extraordinary circumstance; individual facts can change the assessment.

For UK complaints, the CAA explains how to use the airline’s ADR scheme where available or the appropriate complaints team. EU procedures differ by country. An enforcement complaint does not automatically recover money. Court time limits depend on the jurisdiction; there is no single deadline for every country.

When assistance may be useful

A service can be useful if you prefer someone else to handle correspondence or need help with difficult enforcement. Before signing, check representation, assignment, fees, cancellation and legal-cost terms. If you already contracted with a provider, review that agreement before acting in parallel. FlightRefundCalc does not file claims or act as your lawyer.

The free alternative is your own direct request supported by preparation tools. You remain responsible for accurate facts, deadlines and whether to accept an offer. We do not claim that a DIY case is faster or more successful.
